Heart of the Desert Inc Event Coordinator in Alamogordo, New Mexico

**JOB DESCRIPTION The event coordinator serves in a unique partnership with the regional store manager, the logistic coordinator and the owners of Heart of the Desert Pistachios and Wines. The event coordinator reports directly to the regional store manager. The event coordinator is the primary contact with clients renting the patio for private events as well as lower-level non-exclusive events. Duties include meeting with customers to show the patio, going over the rental contract, booking the event, and taking payments for the deposit as well as all rental fees. The event coordinator will work directly with the logistics coordinator on a regular basis to communicate details for all upcoming events. Details of each event would include but not limited to staffing, tables, linens and the event layout. Many of these details are to be documented on a dry-erase board located in the storage area. This position assists in coordinating, organizing, planning and purchasing supplies for event. The event coordinator is actively involved in the set-up and tear down of events, as well as providing outstanding customer service. The candidate must be organized, detail-oriented, and have excellent communication skills. The coordinator promotes The Patio as an event venue and promotes Heart of the Desert products. It is a full-time position (32 to 40 hours per week), and requires a flexible work schedule to cover the hours events are held. Evenings, weekends, and holidays are all times when events might be held. The event coordinator will be scheduled for duty in the retail store, as needed. The regional manager works with the coordinator in making the weekly schedule of staff hours, to cover the events as well as the store. All event staff must be flexible and able to work the retail store.

JOB RESPONSIBILITIES**

Actively promote Heart of the Desert and The Patio as a venue for both corporate and social events such as weddings, parties, dinners, etc.

Communicate clearly with clients and patrons regarding The Patio and event inquiries.

Give excellent customer service and information to drop-in clients looking at The Patio.

Train and supervise event staff before and during events.

Proficiency in store duties. Ability to confidently open and close the store and run the registers during events.

Help customers achieve a successful event by guiding them through the process.

Think and plan proactively to make sure event details are not missed.

Ability to operate small appliances, cash registers, and basic office equipment.

Assist with set-up and tear-down of events; moving tables/chairs/placing linens/etc.

Run errands to buy supplies for events as needed.

Insure the patio is clean prior to each event.

Ability to operate the wine and beer bar by providing drinks and processing payments.

Strictly adhere to all state of NM alcohol consumption and serving rules and regulations.

Control the flow and progress of events: removing used food containers, empty bottles/glasses, etc.
