Robert Half Legal Secretary in Costa Mesa, California

Description We are in search of a Legal Secretary to join our team in Costa Mesa, California. This role is in a workspace that deals with high-end commercial litigation and product liability work. The Legal Secretary will be responsible for a range of tasks including eFilings, document formatting, calendaring for attorneys, and billing procedures.

Responsibilities

• Handle high-end commercial litigation and product liability work

• Conduct up to 10 eFilings per week using OneLegal

• Format legal documents in accordance with local judges’ rules and firm standards

• Update Outlook calendars for 4 attorneys, coordinating with the docketing department for deadline-related queries

• Manage billing procedures including sending out cover letters with each bill to clients

• Enter time for equity partner, approve pre-bills, and send cover letters

• Familiarize with NetDocs and Adobe for various tasks such as bate stamping/labeling, signatures, and page numbers

• Utilize skills in Civil Litigation, Commercial Litigation, Complex Commercial Litigation, Court Filings, Calendar - Docket, Legal Pleadings, and Preparing Pleadings

• Have a solid understanding of CA civil codes & procedures, including how to file, serve, & format documents

• Understand what certain pleadings need to look like and how to set up templates/shells

• Be able to commute on-site 4-5 days/week Requirements • Possesses at least 3 years of experience as a Legal Secretary

• Proficient in Civil Litigation, Commercial Litigation, and Complex Commercial Litigation

• Demonstrates ability to handle Court Filings and Calendar - Docket management

• Experienced in drafting and preparing Legal Pleadings

• Skilled in preparing pleadings for different types of court cases

• High level of attention to detail and accuracy in work

• Excellent written and verbal communication skills

• Ability to work independently and as part of a team

• Strong organizational skills and ability to prioritize tasks

• Proficiency in Microsoft Office Suite and other relevant software

• Knowledge of legal terminology and principles

• Ability to maintain confidentiality and handle sensitive information.
